The Capture System Every Entrepreneur Needs

An entrepreneur capture system is essential for keeping track of your ideas, tasks, and content. With so many moving parts in business, it’s easy for great ideas to slip through the cracks. Here’s a simple four-part system I use to make sure that never happens.

1. Pocket Notebook

Start with a small pocket notebook. This is ideal for quickly jotting down thoughts or ideas while you’re on the go. It’s compact enough to carry in your pocket or bag, making it easy to access whenever inspiration strikes. Whether it’s a random thought, a quick to-do, or an idea for content, having this notebook ensures nothing gets forgotten.

2. Smartphone

Your smartphone is a powerful tool in your entrepreneur capture system. While I don’t use it much for writing notes, I rely on it for taking photos and videos. These visuals often become part of my content creation process. When you’re out and about, your phone can capture moments that might spark future ideas or projects. Make sure to leverage it as part of your system.

3. Thinking Notebook

This is where I do my deeper thinking. I call it my “Thinking JN” (journal notebook). It’s different from the pocket notebook because it’s reserved for more thoughtful, creative processes. I use an A5 notebook that fits neatly inside a field journal. This idea management system gives me space to expand on thoughts, plan projects, and work through challenges in a structured way. It’s where ideas grow and develop.

4. Spark File Database

Finally, everything in my capture system for entrepreneurs gets processed and stored in a digital system. I use Notion, but other options like Obsidian work well too. This digital space serves as a “spark file”—a place where all your ideas, notes, and content can live. The advantage of using digital productivity tools for entrepreneurs is that they are searchable and allow for easy organization, so you can connect related ideas and never lose track of them.
